How to set up an AI Outreach Agent

Setting up an AI Outreach Agent allows you to define the sender of your messages, ensuring all relevant information, such as email address and LinkedIn profile details, is accurately reflected in your outreach campaigns.

➡️ Access Settings:

  • Click AI Outreach Agents in the sidebar menu.

  • Click Add new AI outreach agent.

Now you can enter the information step by step.

1. Internal AI Outreach Agent Name

  • Name the AI Outreach Agent for internal use. Choose a clear and recognizable name.

2. Assign user

  • Select the user in dealcode.ai responsible for managing this AI Outreach Agent.

👉 The assigned user doesn’t have to be the AI Outreach Agent themselves.

Example:

  • AI Outreach Agent name = Jack Jones, Head of Sales

  • Assigned User = You

3. CRM tracking (BCC) for AI Outreach agent

To document your campaign mailings, dealcode.ai needs to be connected to your CRM tool. Most CRM tools provide a tracking email-address for this specific purpose.

Enter the CRM tracking email address. This email will be in the BCC of outgoing messages to document which emails have been sent to whom.

  • If unsure, ask your CRM admin.

👉If you do not provide a specific tracking email for an AI Outreach Agent, the general CRM tracking will be used. This is set up in the tab CRM Tracking.

4. Sender information

In this section, you will provide the information about the sender that will show up in the messages. So make sure you write everything correctly.

  • Job Title: Enter the sender’s job title.

  • First Name: Enter the sender’s first name.

  • Last Name: Enter the sender’s last name.

  • E-mail Address: Enter the email address created specifically for dealcode.ai outreach.

  • LinkedIn Profile URL: Paste the sender’s LinkedIn profile URL. dealcode.ai will use this profile to grab information about the sender in your messages.

  • Select Domain:

    • Create custom domain: dealcode sets up a special domain for you (e.g. @company-sales.com). Enter the desired domain and click Save. dealcode checks whether the domain is available and sets it up for you.

    • Use existing domain: If a custom domain already exists, enter it here.

    • No custom domain: Select this option if you simply want to use your company's normal domain.

  • Company Name: Enter your company name as it should appear in messages. (eg. dealcode.ai instead of dealcode GmbH)

  • Industry: Select your company’s industry.

  • Profile Image URL (optional): If you want to include a profile picture or logo in your email signature, enter a link to the picture here. You can also insert the image manually in the next step.

  • E-mail Signature: Enter and format the signature as it should appear in emails. To insert an image, copy it to your clipboard and paste it into the signature field.

    • To insert an image, open the image in other software (e.g. image preview) and copy the image (not the file!) to the clipboard.

    • Click on the place in the signature where you want to insert the image.

    • Paste the image from the clipboard (Ctrl+V / command+V)

❗ The signature will be displayed in your messages exactly as you save it here. So make sure you finalize the formatting.

5. Save AI Outreach Agent

  • Click Save to save your AI Outreach Agent.
